Hello, may we receive some clarification on this policy please. My last portrait was done in June 2012. I went to our HR office and asked for a new one June 2017 (it had been 5 years- I've worked here almost 15 years) and the person working told me no, she said "the policy was a new picture every 5 years on your Mayo anniversary", I said "that will be 2019 and my picture will be 7 years old", she said "well you look almost the same anyway".

I'm curious as to why my quarterly picture is my new updated picture from Dec 2016, however, on outlook it is still my old picture from almost 7 years ago? I have noticed this with other colleagues as well.

Do you have a contact created in outlook using the person's old photo? That caused this for me.

I wonder the same thing. My photo is sometimes my old photo from 2012 and sometimes it shows up as my new photo. This happens on Outlook and Skype. Not sure how to change/update that.

I have co-workers who have done this so apparently it is allowed.

How can we obtain a digital file of our updated photo or a print copy for our work unit?

I had a supervisor about 8 years ago that said that my parking privileges would be taken away if my picture wasn't renewed? Does one have the authority to do that?

In cases of extreme weight loss this is allowed with prior approval.

It's my understanding if your looks have changed drastically they will take a new photo. Example would be extreme weight loss. I have often wondered also does it depend on who is working the window/desk at the time.

Why are staff in Florida not marked "Portrait out of Date"? There are a number of folks that have photos over 10 years old.

Over the last several years, health system employees were added to the quarterly and the automated renewal system which required many to update their photos right away and not wait for a work anniversary. Because of this reason, some employees have portrait dates that are different than the person’s anniversary date. However, to get everyone on the same notification process it was decided to stick with a person’s work start date, which has made some people get new photos sooner than five years and some have to go a bit longer. – Carol Lammers, Manager, Mayo Photography

The Outlook photos and Quarterly are updated through different systems and sometimes errors occur and the update doe not get completed for one or the other. There is not a way for this to be monitored. If you notice that your Outlook photo is not update please email IDportraits@mayo.edu and make us aware of this error. We will look into the problem and work to get your Outlook photo updated. Please allow 10 days for the update to occur before sending another email about the issue. -Carol Lammers, Manager, Mayo Clinic Photography

If there has been a drastic change in appearance and is not related grooming such has hair color, hair style, getting glasses, etc. a request can be made to update your ID portrait. Employees will need to talk with supervisor first. If supervisor agrees a new photo is warranted, the supervisor needs to contact Dan Pulford in Rochester and security in Arizona and Florida for final approval. -Carol Lammers, Manager, Mayo Clinic Photography

A request for a digital or print copy of you ID portrait can be made through the Media Support Services online request located at this link http://intranet.mayo.edu/charlie/media-support-services/place-an-order/ For a digital copy use the Digital Image or File Retrieval link and for print copies use ID Board Photo Prints or Photo Prints links. Keep in mind that ID portraits are for official Mayo business use only. -Carol Lammers, Manager, Mayo Clinic Photography
